When should a tax preparer escalate an overloaded assignment pool?

I can usually keep preparing returns, but I am unsure when the better professional move is to pause and ask for a priority or reassignment decision.

Escalate when the current plan no longer supports timely and reviewable work. The trigger is not emotion; it is evidence that deadline risk, capacity risk, or review risk has become visible.

Common escalation triggers include:

  • estimated remaining hours exceed available hours before the due date,
  • two supervisors have given inconsistent priority instructions,
  • a return is blocked by missing client information near a deadline,
  • review notes remain open and the filing date is close,
  • no one has decided whether to complete, extend, or reassign a return.

A good escalation note should ask for a decision. For example: "Given the remaining hours and due dates, should I finish the partnership group first, move the fiduciary return to another preparer, or prepare an extension package?"

That is a professional control step, not a failure to work hard.
